Before requesting private hire
Write down the trip before choosing the vehicle
Start with dates, every overnight stop, passenger ages and the actual luggage. A vehicle category is only a shortlist; the written reply should identify the route assumptions, capacity, price scope and the documents you may inspect before travel.
Separate route from schedule
List fixed flights, hotel check-in times and booked activities separately from flexible sightseeing. This makes it clear which timings must be protected and which stops can move if traffic or weather changes.
Confirm the price boundary
Ask whether the amount covers fuel, driver expenses, parking, tolls, waiting, extra kilometres and empty return travel. Record the currency, payment dates and cancellation terms with the route.
